Hire desk takes the booking in MCS as usual — customer, asset, dates, rate code, contract. No process change for your team.

On-hire fires the sync
MCS marks the asset on hire. Teletrack picks it up, associates the tracker with the hire record, and provisions portal access if the customer is configured for it. New customers sync on first hire.

Customer logs into the Teletrack portal, sees their hired assets. Your hire desk fields fewer 'where's my hire?' calls. Asset tracking, pre-starts, geofence alerts, and usage capture run in the background.

MCS off-hires the asset. Teletrack closes usage capture, runs the off-hire inspection if configured, and packages usage line items for the invoice.

Prerequisites
- Active MCS subscription — held directly with MCS; Teletrack doesn't resell or include it.
- Teletrack subscription — any tier (Track, Track + Safety, or Track + PROSTART®).
- MCS API access / integration credentials — provisioned through your MCS account.
- A field mapping decision — which MCS customer fields, asset categories, and rate codes map into Teletrack. Implementation Consultant runs the session.
What it costs
Nothing extra. The MCS integration is included with any Teletrack subscription. No per-record fee, no per-call fee.
Setup process
- Collect MCS API credentials.
- Implementation Consultant configures field mapping (incl. depot / branch structure if multi-branch).
- Initial sync runs — customer master and asset register populate Teletrack.
- Hardware installs on hire fleet (partner network or DIY for plug-in / battery devices).
- End-to-end test hire runs through both platforms.
- Go live.
Typical activation: 1–2 weeks single-depot; 2–4 weeks multi-branch.

MCS integration FAQs
Do I have to change anything in MCS?
No. MCS keeps doing what it does — bookings, contracts, invoicing, customer master, depot management. Teletrack runs alongside it. The only 'change' is that customer service teams answer fewer 'where's my hire?' calls because customers can see it themselves in the portal.
Does the integration support our multi-branch / depot structure?
Yes. The MCS depot / branch hierarchy syncs into Teletrack at setup. Each branch sees its own assets and customers in Teletrack; head office sees the rollup. Reporting matches how your MCS account is structured.
How fresh is the data?
On-hire and off-hire events are near-real-time. Customer master and asset register reconciliation runs every 15 minutes by default — adjustable. Usage data writes back at off-hire or on the cadence you configure for in-flight billing.
What if our MCS data has duplicates or gaps?
The first-pass import surfaces them. Your Implementation Consultant works through cleanup with you before go-live. Most hire businesses use the integration project as an excuse to tidy a few years of accumulated MCS data — useful side effect.
Can we sync only part of the fleet?
Yes. Asset-by-asset opt-in is supported. Start with heavy plant, add light commercial later. Or sync only one depot before rolling out across the rest.
What about MCS custom fields?
Custom fields map to Teletrack tags or custom-field equivalents. Configurable in the field mapping. Any workflow logic you've built on MCS custom fields is preserved.
How does charge-by-usage work practically?
Engine hours, kilometres, and idling are hardware-captured automatically. The off-hire event packages usage for the hire period and exports invoice line items back to MCS. Your team approves the invoice in MCS as normal — working from accurate data instead of customer self-reports.
Can the same hire customer see assets across multiple depots?
Yes. If the customer hires from more than one depot, their portal view shows the combined picture. Permissions are configurable per customer.
Are you HRIA members?
Yes. Teletrack is a member of the Hire and Rental Industry Association and active at HRIA events. The MCS integration is built around feedback from HRIA-member customers running MCS.
What if we cancel Teletrack — does MCS data stay intact?
Yes. MCS data is MCS's record — Teletrack never owns it. On cancellation we stop the sync; MCS is unaffected. Teletrack's own data is fully exportable before cancellation. Month-to-month, 30 days notice.
