Inductions track who is inducted and ticketed for what. Dockets capture the work as it happens. Timesheets are GPS-stamped and export to payroll. Dispatch coordinates the day. Staff transport moves your people. Safety records incidents, toolbox talks and SWMS sign-offs. $5 / user / month.
What's included
Six workflows for the office and the yard.
Inductions
Operator inductions and tickets — PROSTART® checks the tickets before a pre-start runs.
Inductions →Dockets
Digital docket management with signature capture.
Dockets →Timesheets
Operator timesheets, GPS-stamped, with payroll exports.
Timesheets →Dispatch
Live jobs × shifts × plant grid — replace the weekend run-sheet spreadsheet. Assign, confirm, text the crew, log shifts to timesheets, raise dockets, invoice.
Dispatch →Staff transport
Staff book, line managers approve, dispatch allocates a driver and vehicle, and every completed trip closes with a tamper-evident trip sheet coded to a cost centre.
Staff transport →Safety
Report incidents, near misses and hazards from a phone, follow up corrective actions, and record toolbox talk attendance and SWMS sign-offs.
Safety →Staff transport brings employee transport management into Workforce: staff trips, shuttles and crew runs booked, approved and recorded on the same platform.
How it fits together
One week, from the run sheet to the invoice
Play the week, or pick any box to see what it does and what it hands on. Wires that leave Workforce go to the other Teletrack packages and to the files you send to payroll and accounts, and the area along the bottom is shared by every package.
- Next week on one run sheet. Each builder's job gets a card on the run sheet: the machines and trucks, who runs them each day, and the builder's purchase order. Operators see their shifts on their phones and confirm them.
- Warnings before Monday. The run sheet checks every booking against the operator's tickets and inductions, and Safety adds anyone who hasn't signed the SWMS or is due a toolbox talk. The cell shows Not qualified or Check compliance, and the office decides what to change.
- The week on the operator's phone. My shifts lists each shift with the machine, the site and any note from the office. A shift marked TBC waits for the operator to confirm it.
- A toolbox talk at the gate. The foreman starts the talk from the job, with the day's crew already listed. Each person signs on the foreman's phone, or scans its QR code and signs on their own.
- Tickets checked at the machine. With PROSTART®, the QR sticker on each machine opens its pre-start. An operator without the tickets that machine is set to need can't open the checklist.
- Machine hours from the tracker. A docket started on site can take its hours from the machine: Capture start in the morning and Capture end at knock-off read the hour meter from its Teletrack tracker.
- Hours from the run sheet. At the end of the week the office clicks Log shifts. Every confirmed shift up to today becomes a draft timesheet with the run sheet's hours, ready to correct and approve.
- A docket for each day. Raise docket makes one numbered docket for each day from those shifts, with the builder's PO and GST. The lines start at $0: pick each rate from your product catalogue in Billing or type it in.
- The builder signs on a phone. Request customer sign-off emails the builder's supervisor a link. They check the docket and sign on the glass, with no login, and it locks. Their copy can show quantities only.
- The job's dockets on one invoice. Create invoice puts all of the job's dockets on one draft invoice in Billing, one line for each docket line, and warns about any docket not yet signed.
- Files for payroll and accounts. Approved hours export as a CSV for Employment Hero (KeyPay), Xero Payroll or MYOB. Invoices made from dockets export as a CSV for Xero or MYOB. Both are files to import.
- A near miss becomes a work order. A labourer was behind a reversing tipper. The foreman reports it from a phone, and Raise work order on its corrective action, a reversing camera, makes a draft work order in PROSTART® Maintenance.
- Into the dashboard and reports. Timesheets, dockets and safety each have a card you can add to the dashboard. The Reports page has the induction report and links to the Safety registers. Each app keeps its other reports, and its emails, inside the app.
Invoicing runs in the Billing app, which Workforce includes so that signed dockets can become invoices.
Every hand-off on the map, in words
- Inductions to Dispatch: The run sheet checks each booked operator's tickets and inductions. A missing ticket shows Not qualified on the cell and an expired one shows Check compliance. It warns; it never stops the booking.
- Safety to Dispatch: An operator who hasn't signed a SWMS that applies, or is due a toolbox talk, shows Check compliance on the run sheet.
- Dispatch to Safety: A job's Toolbox talk button starts a talk at its site with the operators confirmed on it that day already listed.
- Dispatch to Timesheets: Log shifts turns each confirmed shift up to today into a draft timesheet, with the hours from the run sheet.
- Dispatch to Dockets: Raise docket makes one docket for each work date from the logged shifts, with the job's purchase order and your GST rate. Its lines start at $0 until they are priced.
- Dockets to Invoicing: Create invoice in Dispatch, or Raise invoice on a docket, puts dockets on a draft invoice in Billing, one line for each docket line.
- Timesheets to Payroll file: The payroll export turns approved hours into a CSV for Employment Hero (KeyPay), Xero Payroll or MYOB.
- Invoicing to Accounts file: Invoices made from dockets export as a CSV for Xero or MYOB.
- Inductions to PROSTART®: With PROSTART®, a machine's pre-start doesn't open its checklist for an operator without the tickets that machine is set to need.
- Safety to PROSTART®: A corrective action on a machine can raise a draft work order in PROSTART® Maintenance, for companies that also use it.
- Telematics to Dockets: Capture start and Capture end on a docket line read the machine's hour meter from its Teletrack tracker; the difference becomes the line's hours.
- Timesheets to For every package: Timesheets has the Timesheets this week dashboard card. Its hours report and spreadsheet export are inside Timesheets, and administrators also get labour costing and the payroll export there.
- Dockets to For every package: Dockets has a dashboard card. Its reports and the Xero or MYOB CSV are inside Dockets, and each morning a digest emails the client's administrators and editors when dockets are waiting to be signed, approved or invoiced.
- Safety to For every package: Safety has a dashboard card, and its registers are linked from the Reports page. Safety's settings turn its new-report emails, action reminders and digest on or off. A report marked notifiable always emails the client's administrators and editors, and a SWMS emails its required signers whenever a version that needs signing is published.
- Inductions to For every package: The induction report is on the Reports page and can be scheduled. A client administrator switches on induction and licence reminder emails in Inductions, under Compliance reminders.
