Teletrack

Integration

Point of Rental Syrinx + Teletrack — enterprise rental ERP, end-to-end integrated.

Point of Rental Syrinx is the enterprise tier of rental ERP — typically larger AU hire businesses, often running multi-branch operations with complex contract structures. Teletrack's two-way integration syncs customer master, asset register, on-hire / off-hire status, and usage data. Syrinx keeps running your bookings and invoicing. Teletrack adds live tracking, pre-starts, hire customer portal, and charge-by-usage data on top.

Point of Rental Syrinx is the enterprise platform of choice for larger hire businesses — particularly those running multi-branch operations, complex contract structures, or longer-term equipment rental. Syrinx runs the contracts, bookings, accounts, and customer master. Teletrack runs the asset side. The integration keeps both in sync.

How it works

Enterprise hire lifecycle — 5 steps

How it works

  1. 1

    Contract built in Syrinx

Your contract team builds the hire contract in Syrinx as usual — customer, assets, dates, rates, terms. No process change for any team that lives in Syrinx today.

  2. 2

    On-hire fires the sync

Syrinx triggers on-hire (per asset, per contract line). Teletrack picks it up, associates the tracker with the right contract line, and provisions customer portal access for the duration. New customers / new assets sync on first event.

  3. 3

    Live visibility through the contract

Customer logs into the Teletrack portal and sees the assets they're renting under the active contract — location, usage, return date, pre-start records. Multi-asset, multi-branch hires show as one consolidated view. Your team stops fielding routine 'where's my hire?' calls.

  4. 4

Off-hire (or contract milestone) fires close-out

Off-hire event from Syrinx — or a contract milestone, depending on how the contract is structured — closes out usage capture in Teletrack. Off-hire inspection runs if configured. Usage line items packaged for billing.

  5. 5

Line items flow back to Syrinx

Usage and inspection data export back to Syrinx as line items against the contract. Your billing team approves invoices in Syrinx as normal, working from hardware-captured data rather than customer self-reports.

Audience

Who uses this integration

Larger AU hire businesses on Syrinx

Syrinx is typically deployed in larger, more complex hire operations — multi-branch, multi-state, longer contract structures. The integration suits that scale.

Multi-branch hire operations

The Syrinx branch hierarchy maps into Teletrack so each branch sees its own assets and customers, and head office gets the rollup. Permissions and reporting follow the Syrinx structure.

Hire businesses with long-term or complex contracts

Blanket contracts, multi-asset contracts, contracts with mid-term variations. Syrinx's contract logic is the source of truth; Teletrack respects it for asset-to-contract association and usage line item write-back.

Enterprise hire with major Tier 1 customers

Your customers operate on Tier 1 sites and need pre-start evidence linked to their hire records. Teletrack supplies the pre-start audit; the integration writes it back to Syrinx against the contract.

Activation

What you need to turn it on

Prerequisites

  • Active Point of Rental Syrinx subscription — held directly with Point of Rental; Teletrack doesn't resell or include it.
  • Teletrack subscription — any tier (Track, Track + Safety, or Track + PROSTART®).
  • Syrinx API access / integration credentials — provisioned through your Syrinx account.
  • A field mapping decision — which Syrinx customer fields, asset categories, contract structures, and branches map into Teletrack. Implementation Consultant runs the session, typically with your Syrinx admin in the room.

What it costs

Nothing extra. The Syrinx integration is included with any Teletrack subscription. No per-record fee, no per-call fee.

Setup process — enterprise rollout runs a bit longer

  1. Collect Syrinx API credentials.
  2. Implementation Consultant configures field mapping, including multi-branch hierarchy and contract-structure logic.
  3. Initial sync runs — customer master and asset register populate Teletrack.
  4. Hardware installs across the fleet (partner network or DIY for plug-in / battery devices).
  5. End-to-end test contract runs through both platforms.
  6. Pilot branch goes live; subsequent branches roll out in waves.

Typical activation: 2–4 weeks single-branch pilot; 6–12 weeks for full enterprise multi-branch.

Compatibility

Hardware and solutions this works with

Recommended hardware for enterprise hire fleets

  • Digital Matter G70-BLE — hardwired heavy plant; the workhorse for enterprise hire.
  • TrakaX® Series 2 — Australian-designed, PROSTART-native for fleets pushing the pre-start spec hard.
  • Teltonika FMM250 or FMM650 — light commercial fleet vehicles.
  • Teltonika FMC650 + dashcam — for Tier 1 / mining-spec customers requiring dashcam compliance.
  • Ruptela Smart5 — alternative hardwired fleet vehicle option.
  • Ruptela Asset5 — non-powered hire assets (trailers, light towers, fuel cubes, secondary lifting gear).

Solutions that work alongside

  • Portal Sharing (Mode 1) — hire customer portal, provisioned automatically per contract.
  • PROSTART® pre-starts — cross-vendor pre-start with immobilisation. Critical when your hire assets land on Tier 1 sites.
  • Maintenance module — service schedules driven by usage; useful at enterprise scale where service planning is its own discipline.
  • Hammertech integration — if your hire customers run Hammertech, pre-start evidence flows through to Hammertech too.

Syrinx integration FAQs

Does the integration support Syrinx's contract-line structure?

Yes. Hire assets associate with the specific contract line, not just the contract header. Usage data writes back per line. This matters for enterprise customers with multi-asset contracts where different assets carry different rate codes within one contract.

Multi-branch — does each branch see only its own data?

By default, yes. The Syrinx branch hierarchy maps to Teletrack's permissions structure. Each branch sees its own assets and customers; head office sees everything. You can override for specific roles (regional manager seeing multiple branches, for example).

How is the data sync handled at enterprise scale?

On-hire / off-hire events are near-real-time. Customer master and asset register reconciliation runs every 15 minutes by default — adjustable. Usage data writes back at off-hire events or per the cadence you configure for in-flight billing on long-term contracts.

What if our Syrinx data has accumulated noise over years?

The first-pass import surfaces it. Your Implementation Consultant walks through cleanup before go-live. We recommend a sandbox import before touching production for enterprise rollouts — easier to scrub data in a sandbox than to reconcile after go-live.

Can we phase the rollout by branch?

Yes — we recommend it for enterprise rollouts. Pilot branch first, then waves. Each branch's go-live is a flag-flip once the pilot is stable. Hardware installation logistics usually drive the pacing rather than the integration itself.

Does Syrinx's contract structure for long-term hire affect how usage gets billed?

Yes. Long-term contracts often have agreed monthly usage allowances and overage rates. The integration writes back actual usage; your Syrinx billing logic applies the contract rate. Teletrack supplies the data; Syrinx applies the contract terms.

What about Tier 1 customers needing pre-start evidence on our hire assets?

That's the PROSTART® pre-start workflow — runs on your hire assets regardless of who's operating them on site. The audit trail is exportable as evidence the Tier 1 customer can use directly. If they run Hammertech, the Hammertech integration extends this further: pre-start records flow into Hammertech against the operator's record.

What if we cancel Teletrack — does Syrinx stay intact?

Yes. Syrinx data is Syrinx's record — Teletrack never owns it. On cancellation we stop the sync; Syrinx is unaffected. Teletrack's own data is fully exportable before cancellation. Month-to-month, 30 days notice.

Are you HRIA members?

Yes. Teletrack is a member of the Hire and Rental Industry Association and active at HRIA events including the HIRE convention.

Can we run Syrinx + another integration (e.g. Hammertech) at the same time?

Yes — they don't compete. Syrinx is the rental ERP for the commercial side; Hammertech is the safety platform for the operational side. Larger hire businesses often run both. Teletrack handles both integrations simultaneously without cross-interference.
