How a professional services engagement runs

Scoping call
Free. 30 minutes. You describe what you need; we tell you whether it sits in standard scope (no charge), professional services (quoted case-by-case), or full Custom Development (separate scoping engagement). We'll be honest about which category your request belongs in.

Quote
For small scope (a handful of hours), we'll send an hourly quote with an estimated hour range. For larger or defined scope, we'll send a fixed-price quote with a written scope document. Both quotes are good for 30 days.

Delivery
We do the work. For hourly, you get a status update at each meaningful milestone and a final invoice with actuals. For fixed-price, you get checkpoint reviews against the scope and a final sign-off step.

Handover
What we built is yours. Custom reports we develop using AI live inside your Teletrack account, configuration is documented in your platform, training materials handed over. No ongoing licence fees — once built, they're part of your account.

Pricing structure

- Small scope — hourly quotes, with an estimated hour range provided upfront.
- Defined scope — fixed-price after a brief written scope document.
- Multi-month engagements — typically structured as milestone-billed fixed-price (e.g. a custom reporting build delivered in three sprints).
What's NOT charged for
- Scoping conversations
- Standard platform support that touches professional services deliverables
- Bug fixes on what we built during the warranty period (defined in the scope document)
- Future platform upgrades that maintain compatibility with the work delivered
What IS charged for
- Build hours (hourly) or fixed-price (after scoping)
- Material change requests after the scope is approved
- Ongoing maintenance of deliverables that fall outside standard platform support (e.g. bespoke custom reports we build using AI to your spec)
When professional services are the right fit

When standard subscription covers it
If your request is something we should already do as part of getting you live or keeping you running — standard alerts, standard reports, asset register management, operator load, the 6-stage PROSTART® rollout — it's not professional services. It's covered. Your Implementation Consultant or standard phone support will handle it.
When it's Custom Development instead
If your request requires new platform code — a new integration, a new mobile workflow, a new hardware brand, a new capability that doesn't exist today — it's Custom Development, not professional services.
Common questions
How is this different from custom development?
Professional services use existing Teletrack capability in a bespoke way — bespoke custom reports our team builds using AI, bespoke coordination, bespoke training plans. No new platform code gets written. Custom Development writes new platform code — new features, new integrations, new hardware support. The simplest test: if what you need can be delivered with existing Teletrack features arranged differently for you, it's professional services. If it requires our engineering team to write code that doesn't exist yet, it's Custom Development.
What's the typical scope?
Anything from a half-day's work (a one-off configuration job, a specific report build) to a multi-month engagement (a custom reporting build with multiple reports, or a multi-site coordination programme for a large rollout). Hourly for the small end; fixed-price after scoping for everything else.
Do you do consultancy on telematics strategy?
In a limited way. We'll happily talk through your fleet, your current platform, your tender requirements, and what makes sense to change — and a 30-minute scoping call is free. For deeper strategy work (a multi-vendor procurement, a fleet rationalisation across business units, a written telematics strategy document for your board), we'll quote it as professional services. We don't pretend to be a standalone management consultancy.
Can you help me build a tender response?
Yes — within reason. If you're responding to a head contractor or a government tender that requires evidenced telematics, pre-start, or operator competency tracking, we can help you assemble the evidence pack — sample reports, audit trail extracts, a written description of how Teletrack supports the relevant standards, named training milestones. We'd quote this as professional services. We can't write your tender response for you, but we can supply the teletrack-specific content and pull the evidence.
Do I need a scoping engagement first?
No — not in the way Custom Development requires it. For professional services, a free 30-minute scoping call is enough to give you an hourly estimate or a fixed-price quote. We don't charge a separate scoping fee.
What's the warranty on deliverables?
Defined in the written scope document — typically 30 days for fixed-price work, where we'll fix anything that doesn't match the scope at no charge. After that, ongoing changes are quoted as new work.
Who delivers the work?
Teletrack staff — Australian-based, the same team you'll meet on your demo and onboarding. We don't subcontract professional services delivery offshore.
Can professional services work be paused or scaled?
Yes. Hourly work pauses when you stop sending us things to do — no minimum monthly commitment. Fixed-price work pauses at milestone boundaries if your priorities change; we'll resume when you're ready. We don't lock you into multi-month retainers.
